Getting started - written guide

A simple guide to creating, entering, and using your virtual office

1. What BeZoned Is

BeZoned is a virtual office connected to Microsoft 365. BeZoned helps teams feel connected and accessible—just like in a physical office.

  • See who is in the office and where they are sitting

  • Talk naturally across the desk using BeZoned office audio

  • Jump seamlessly into Microsoft Teams meetings and use Microsoft standard tools

  • Stay aware of colleagues’ status, availability, and schedule

The more people use BeZoned regularly, the more valuable it becomes.

2. Entering the Office & Understanding the Layout

When you join BeZoned, you arrive in the Welcome Area.

From here you can:

  • See who is currently in the office

  • Get an overview of tables, meeting rooms, and lounge areas

  • Leave the office or switch to another office

Your avatar represents you in the office and determines where you are connected and how others can reach you.

3. Tables = Everyday Work & Conversations

Tables are the core of daily collaboration in BeZoned.

How tables work

  • Click a table to place your avatar there

  • Audio connects automatically with everyone at that table

  • You control your own microphone (mute/unmute anytime)

Why tables matter

  • Tables represent teams, topics, or ways of working

  • You can “listen in” just like in a physical office

  • Quick questions and spontaneous conversations happen naturally

Special-purpose tables

Teams can agree to dedicate tables, for example:

  • Focus table / mute table → “I’m concentrating, please don’t interrupt”

  • Team table → Daily collaboration

  • Support table → Open for questions

Clear table conventions make the office easier to use for everyone.

  • Access tools like:

    • Whiteboards

    • Planners

    • Shared documents

  • Add more tools by configuring channel tabs in Teams
